I suppose the better question is “how many different tools have you used in the past week?”</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Many may not realize it, but there is a difference between a “Webinar” and a “Meeting”. Like with many things in the IT world, once a new technology gains popularity and vendors jump in with their marketing teams, the various terms and definitions tend to get muddled and mixed.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Whatever prefix you prefer to add to better describe “Meetings”; e.g. </span><span style="font-size:12pt;font-style:italic;">web</span><span style="font-size:12pt;"> meeting, </span><span style="font-size:12pt;font-style:italic;">virtual</span><span style="font-size:12pt;"> meeting, </span><span style="font-size:12pt;font-style:italic;">online</span><span style="font-size:12pt;"> meeting, </span><span style="font-size:12pt;font-style:italic;">video</span><span style="font-size:12pt;"> meeting, etc., they’re really all the same. So, all of this probably doesn’t matter as long as everyone understands each other. However, it might good for everyone to know some technical and functional differences when we’re talking about webinars, webcasting, and the like versus an online meeting.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">The main difference between a web meeting and a webinar is that web meetings are generally used more frequently, guests are usually more interactive because they are connected with both audio and video, meetings can often be less “formal”, and have anywhere from one to one hundred or more additional participants. Whereas a webinar is typically used for planned events and presenting to a larger group of guests in often a more “formal” setting. Webinars can have guests ranging from as few as 10 to as many as 10,000.&nbsp; Many of the features and tools available in Meetings and Webinars are similar depending on the platforms used. Some services can do both webinars and meetings with the right service plan added. While others are specific to either webinars-only or to meetings-only.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Meetings platforms are used for all sorts of occasions and recurring and reoccurring gatherings for both internal and external meetings. Meetings will have a host, perhaps a co-host, and invited guests or participants. Nearly all solutions will have calendar integration so scheduling is easier and also have a way to start an “ad-hoc” meeting anytime. Usually, all members of the meeting are able to talk, video, and maybe even screenshare (among other “cool” features). Some virtual meeting services allow for annotation, whiteboarding, meeting minutes and notes, chat features, recording, and many other useful tools including remote control, which allows a host or guest to remotely control the screen of another sharing their screen.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Advanced platforms for both meetings and webinars may even have AI-driven, auto-generated closed-captioning. Many meeting platforms go as high as 100 guests or more. Some meetings platforms may even go as high as 500 with the right add-ons. Larger meetings often get confusing and awkward once double digits are reached and usually require better host controls to keep people from talking over one another.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Some online meeting solutions require the host to download software and use it when hosting a meeting in order to use all of the platforms’ features. Some are completely browser/web-based with nothing to download at all. Nearly all online meeting services will have an option for guests to use the browser/web-only options to get into the meeting and therefore not require that guests download the same software. Web-only options can be particularly convenient especially for guests that could have restrictions against downloading any sort of software directly to their corporate device.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Being a planned event, webinars will most often have a registration feature or be able to integrate into another registration system for planning and marketing purposes. Webinars may have hosts, co-hosts, presenters, panelists, and then of course the guests. Webinars are usually live events and therefore streamed (live-streamed) with controlled participation of guests by hosts and operators through Questions &amp; Answers (Q&amp;A) and other chat features in the platform that can be left on, or toggled throughout the event at just the right time. Guests are generally not able to participate with audio and/or video, although there are a few platforms where the host can ‘promote’ guests to do so.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">There are even professional services that offer partially or fully managed webinar and webcasting services complete with your very own professional operator to coordinate and manage the entire event. Many of these services can even go so far as send out a full broadcast and video production crew for a highly polished and distinguished event.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Webinars platforms almost never require a guest to download any sort of software to view and participate in the event and is accessible via the web (hence the “web” in webinar). Although some may require the service provider’s software for any host, panelist, or presenter.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">A quick sidenote: webinar vs. webcast. They’re both similar and just like with the terms online meeting, or whatever prefix you prefer, and webinar they’re often used interchangeably, but a webinar and a webcast are a little different. Most webinar platforms/services can just as easily do a webcast. Yet there are tools, services, and platforms that only do webcasting. A webinar is usually a live event and webinar platforms/services at least have the features for guest participation available, even though the host or operator of any given event may turn off those Q&amp;A features depending on their preferences. A webcast on the other hand almost never has guest participation and are usually pre-recorded for viewing (over the </span><span style="font-size:12pt;font-style:italic;">web</span><span style="font-size:12pt;">) at a later time. Many webcasts might also be of higher production value, something like a “TEDTalks” for example.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">There are literally dozens upon dozens of online meetings and webinar service providers available in the market today. With the covid pandemic and world-wide shutdowns of… well… everything, all of these services have gained tremendous popularity, along with scads of other tools that enable work-from-home.&nbsp; I’m sure there are very few reading this who haven’t heard of Zoom, Teams, or Meet. Many of these and other new services have gotten very innovative and incorporated avatars, breakout rooms, and even networking centers to virtually mimic the look and feel of an in-person tradeshow or conference.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">A few of the most popular platforms include: Zoom, Microsoft Teams, Google Meet, Cisco WebEx, AnyMeeting, GoToMeeting and GoTo</span><span style="font-size:12pt;font-style:italic;">Webinar</span><span style="font-size:12pt;">, just to name a few. Some have even reached the iconic status of being a verb. Example: “just Google it”, “let’s jump on a Zoom call”, “I already Glipped you”</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">There is yet another entire class of solutions that also provides online/virtual/web meetings and in some cases webinar services: Unified Communications as a Service (UCaaS), which is a fancy term for a business phone system. But much like your smartphone, the last thing you use it for is a phone.</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">Some of these services have created their own proprietary meetings platform/service while others may use or “tightly integrate” with one or more of the popular solutions previously mentioned. Most UCaaS not only includes a video meetings service, but also a host of other important business communications and collaboration tools--all in one neat bundle. Along with video, most will include voice (deskphone optional), virtual fax, business SMS texting, along with other mobile features, and all things related to a full-featured business PBX system.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">But, they are </span><span style="font-size:12pt;font-style:italic;">not</span><span style="font-size:12pt;"> “all the same”! As with many things in life, the devil is in the details. On the surface, they all perform the same </span><span style="font-size:12pt;font-style:italic;">basic </span><span style="font-size:12pt;">functions--video meetings (or webinars, of course). However, as soon as we start getting into the meat-and-potatoes the differences can be dramatic. It really all depends on what features are important to your user-base. Sometimes it’s a matter of knowing what’s out there before knowing what is needed. First, figure out the big steps: webinar and/or meeting. Then call up a few providers, do a few demo’s, and start mapping out the differences. Then you’ll want to do a deep-dive your users to really figure out what they need: need-to-have and nice-to-have.&nbsp;</span></p><p><span style="color:inherit;"><span><br></span></span></p><p><span style="font-size:12pt;">It will take some work, but totally worth it in the end, especially when others are involved, have input, and buy-in to the new solution. For employees and employers, this is a major adjustment.</div><p><br></p><div><span style="font-weight:bold;">Commuting</span></div><div>The average American worker spends at least 27 minutes on their daily commute to work, and it is getting worse. More than 14 million people spend an hour or more traveling to work,” according to NPR.</div><p><br></p><div>That’s a lot of time you can save by becoming a telecommuter! Telecommuting is another way to say working remotely or from home by making full use of the internet, email, and phone.</div><p><br></p><div>However, some folks enjoy waking up early, getting ready, and having the separation of home and the office. This is why many folks who work remotely still opt to go to a coffee shop or a coworking space.</div><p><br></p><div>The bottom line is people hate commuting. Work-life balance continues to surge on the importance meter for modern-day employees. Companies that don’t recognize this are missing a huge opportunity.</div><p><br></p><div>A poll posted by CEO of Product Hunt, Ryan Hoover, suggests that most people would take a pay cut if it gave them the ability to work remotely. Perks like infinite vacation time, free food, and 401k weren’t as important when compared to the benefits of working remotely.</div><div><br></div><div><span style="color:inherit;font-weight:bold;">Communication</span></div><div><span style="color:inherit;"><div>According to research from our 2020 State of Business Communication Report, face-to-face communication is the most preferred communication method by employees.</div><div><br></div><div>Not counting video conferencing, face-to-face communication is something you really only get in an office space. It’s not only beneficial when planning for business, but it strengthens relationships and rapport with other employees. There’s something about relationship-building that happens when you sit next to someone or bump into each other at the coffee machine.</div><div><br></div><div>Communication still happens when you’re working remotely — it’s just different. Face-to-face communication turns into video calls. Short conversations turn into Slack messages. Emails … well, those stay emails. For example, Close.com says they use Snapchat internally for team building. It’s a cool and clever way to use social media to stay connected while working remotely.</div><p><br></p><div><span style="font-weight:bold;">Flexibility</span></div><div>When working from an office, it’s likely you have a set schedule. Your alarm goes off at the same time every day, you grab your morning coffee at 7:05 am, and you’re at your desk by 9 am ready to work.</div><p><br></p><div>When it comes to working from home, it’s a little different. You now have the flexibility to wake up when you choose and tailor your day to your needs. If your company is new to remote work, chances are they still want all employees working the traditional work hours of 9-to-5. With remote work, you can now wake up (a little) later, pick a time for lunch, and close your laptop when you want — for some, that’s 4 pm, others it could be 7 pm.</div><p><br></p><div>As more companies adopt a remote-first policy, working hours will shift to fit the employee’s schedule. This shift means more flexibility on when you start and end your day and where you work from. You should be able to work from anywhere that has a solid internet connection!</div></div>

If you’re driving, you might also have to pay for parking. You likely also pick up a coffee or buy lunch during the day. All of these expenses add up.</div><p><br></p><div>When you work from home, there are tons of financial perks. You don’t have to worry about sitting in traffic, commuting expenses, and you won’t be tempted to go out after work and spend money on happy hours and eating out.</div><p><br></p><div>Working from home has its own costs. In addition to broadband internet costs, employees need to think about their energy costs like electricity. They may also carry “startup” costs for telecommuting technology typically burdened by employers. For example, call center employees that work from home were able to boost their productivity by 13%, according to a Stanford study. Consistent research has shown that remote workers log longer hours than their office-bound counterparts.</div><p><br></p><div>Studies show that it’s clear there is increased productivity in working at home versus working in an office. However, there can be a learning curve on how to increase your productivity and reduce distractions at home.</div><p><br></p><div><span style="font-weight:bold;">Management</span></div><div>Many organizations have had to switch to remote work for the very first time. Managers are likely concerned because they’ve never had to manage a remote workforce.</div><p><br></p><div>When working from an office, managers have a clear view of what team members are working on. The total number of business and consumer emails sent and received per day will exceed 293 billion and is forecast to continue growing by around 5% yearly. But it is precisely this daily flood of information that will be the death of email.</p><p><span><strong>Death by Email</strong></span></p><p style="margin-bottom:30px;">Email is by no means the most efficient way of communicating. One of the reasons why people tend to avoid email, is that they seldom receive the emails they are waiting for. Even though spam filters are improving constantly,&nbsp;<a href="https://www.spamlaws.com/spam-stats.html" target="_blank">a whopping 45% of the emails we get are still spam</a>. This flood of emails is not informative, but irrelevant.</p><p style="margin-bottom:30px;">Email alone is not enough to provide a large number of employees with important and work-related information. This leads to employees daily receiving hundreds of emails that only partially concern them, they are numbed by the informational overdose and often miss those few messages that would have have actually been important and relevant.</p><p style="margin-bottom:30px;"></p><p><span></span></p><p style="margin-bottom:30px;">Email wastes a lot of time and is a productivity killer. Managers spend up to 20 hours a week working through their emails and&nbsp;<a href="https://www.forbes.com/sites/annabelacton/2017/07/13/innovators-challenge-how-to-stop-wasting-time-on-emails/#661778649788" target="_blank">employees spend around 2-3 hours every day</a>&nbsp;reading and responding to emails, digging through their inbox to get those few bits of information that they actually need. We are nearly addicted to checking our mail (several times) daily. And it is distracting. Employees need&nbsp;<a href="https://blog.sanebox.com/2016/02/18/email-overload-research-statistics-sanebox/" target="_blank">64 seconds on average to concentrate on work again</a>&nbsp;after reading an email. In a world where speed is becoming more and more essential, organizations are wasting valuable time.</p><p style="margin-bottom:30px;"><span><span style="font-weight:bold;">What about privacy?</span><span style="font-weight:700;"><br></span></span>Another reason companies are beginning to shy away from predominant email usage, is that&nbsp;<a href="https://www.securedocs.com/blog/how-secure-is-email" target="_blank">email privacy is a complicated issue.</a>&nbsp;For one, email was never developed with cyber security in mind. A message doesn’t simply go from sender to recipient instantaneously, most have to traverse multiple networks and servers before arriving in their intended inbox. On their way emails frequently cross national boundaries and different countries have different rules and regulations governing who can access an email. These checkpoints are vulnerable to attacks, due to unsecured networks.</p><p style="margin-bottom:30px;">Generally, email is also not encrypted so hackers who manage to break into a network or server can read all emails including attachments. The secret to its success? A user-friendly and intuitive interface that encourages quick communication between team members, whether they’re in the same office or many time zones apart.</p><p style="margin-bottom:16px;">More and more, today’s collaboration tools serve as the hub for an increasingly digital office, where real-time, synchronous conversations suit the ad-hoc and informal discussions scattered teams use to collaborate on projects.</p><div style="font-size:16px;"><a href="https://www.computerworld.com/article/3099654/link" id="22591c93-e13d-4e76-90ac-69106450adf2"><div style="width:400px;"><div style="width:400px;"><div style="width:400px;"><div style="width:383px;"><div></div></div><div style="width:383px;"></div></div></div><div style="width:400px;"><div style="width:383px;"><div></div></div><div style="width:383px;"></div></div></div></a></div><p><span style="color:inherit;"></span></p><p style="margin-bottom:16px;">But it is not just about chat. The ability to hook into other applications has become fundamental to team chat apps, allowing them to evolve and grow beyond their original mission.</p><div>Not surprisingly, a variety of software vendors, from productivity software vendors to unified communications firms and smaller startups with standalone apps, rushed to create their own tools. The result is a fast-growing market, now worth $3.5 billion globally, and a range of options that suit the needs of different customers.</div><div><br></div><div>“Almost every company in the world with over 1,000 employees has at least two or three messaging apps co-existing alongside each other,” said Tom Hadfield, CEO of Mio, a provider of software that enables interoperability between chat apps. “The fragmentation of enterprise messaging is often driven by mergers and acquisitions, transitions from legacy systems, or simply accommodating engineering teams who love Slack.”</div><div><br></div><div>What tools a company adopts often depends on their individual needs. “There are dozens of alternatives to Slack and Teams, and which [of them] might be useful will depend on how your team works and whether you need internal or external collaboration, for example,” said Angela Ashenden, principal analyst at CCS Insight.</div><div><br></div><div><span style="color:inherit;">“Some come from a pure messaging perspective, while others emphasize task-based working, or integration and bots to take a more 'digital workplace' approach,&quot; she said.</span><br></div><div><span style="color:inherit;"><br></span></div><div><span style="color:inherit;"><div>Ashenden agreed with Hadfield that companies often adopt a variety of tools. “As much as organizations will want to standardize on one tool – to make sure everyone is working together, to minimize complexity and for compliance/governance/management reasons etc – in practice, it seems unlikely that we’ll fully get away from this fragmentation because individuals now have the power to choose their own technology,&quot; she said.</div><div><br></div><div>With that in mind, here are some of the various enterprise options available, with a look at what kind of companies they’re best suited for:&nbsp;</div></span></div></div>

Colleagues can edit Word documents, Excel spreadsheets and other files in real-time from directly within Teams, which also syncs with Calendar and allows users to quickly jump into video and voice calls.</div><div><br></div><div>Microsoft has continued to rapidly build out Teams over the past two years. It now offers, for instance, AI features such as automated transcription of conversations and background blur. The app has also been tailored for use in healthcare and education sectors as well as for “first-line” workers such as retail staff.&nbsp;</div><div>While Teams arguably lacks the user-friendliness of Slack and its wide range of third-party integrations, it’s clear that Microsoft is the major challenger to Slack. More than 500,000 Office 365 business customers have already deployed Teams, according to Microsoft. Indeed, some claim it is now the most widely deployed team chat app, largely thanks to its inclusion in Microsoft’s broader office productivity package. Zoom, Survey Monkey and Smartsheet can be used within Workplace, so Facebook clearly wants to move users beyond the platform’s social media foundation.</div><div>One of the major differences between Workplace and Slack involves the intended audience. While Slack is targeted at knowledge workers, Facebook’s tool is built more for frontline workers such as those in retail. A key advantage: most users will already know their way around basic features such as the News Feed and Work Chat, (which is essentially the business version of Facebook Messenger). This has led to numerous large deployments to date, despite its parent company’s travails, and the app now has some 2 million users.</div><p><span style="color:inherit;"><br></span></p><div>Workplace offers a free tier, with a more feature-rich service priced at $3 per user/month. It has a simple and easy-to-understand user interface, though is less feature-rich than Teams or Slack.</div><div><br></div><div>Chat supports a range of bots, including a Google Drive bot that alerts users when files are shared with them.
